• Who Owns a Mortgage File That Can’t Move Forward?

    I’m researching how mortgage companies handle files that cannot presently proceed through the normal origination process but aren’t necessarily permanently dead.

    I’m especially interested in the operational handoff.

    For those who have worked as loan officers, processors, underwriters, branch managers, or in mortgage operations:

    When a file reaches that point, who actually owns it?

    For example, suppose there are identifiable issues involving income/documentation, DTI, credit, available funds, employment history, property eligibility, or another condition that may potentially be addressed over time.

    Does the file:

    • remain with the loan officer;

    • stay in the LOS with tasks/notes;

    • move into CRM follow-up;

    • go to a processor or specialized team;

    • get placed into a credit-improvement or second-look process;

    • or effectively leave active operations until the borrower comes back?

    If someone is actively working to address the issues, how does your organization keep track of:

    • what specifically is preventing the transaction from proceeding;

    • what work is underway;

    • what documentation or other evidence has been received;

    • what remains unresolved; and

    • when should the file go back to the appropriate professional for another look?

    I’m particularly interested in whether companies distinguish active remediation of an identifiable problem from ordinary long-term lead nurture.

    And one operational question I’m very curious about:

    If the original LO or processor left the company, could another employee open your existing systems and reliably reconstruct why the transaction stopped, what has been done since, what remains unresolved, and whether it is ready to be reconsidered?

    I’m not looking for mortgage qualification advice or soliciting business. I’m trying to understand how this workflow is actually handled inside mortgage organizations today.
